How to Save an Email as PDF
From Gmail
- Open the message and press the print icon (or Ctrl+P).
- In the print dialog set the destination to Save as PDF.
- Save — the full message, including inline images, becomes a PDF.
For a single email inside a thread, open that message first so you print it alone.
From Outlook
- Select the message, then File > Print.
- Choose the Microsoft Print to PDF printer and print.
- Outlook on the web: Print > your browser's Save-as-PDF destination.
From mobile
Gmail app: the three-dot menu in the message > Print > Save as PDF. Outlook mobile: share the message as a PDF from the share sheet.
After saving
Email printouts with images can be heavy — run them through PDF compression, add a password for sensitive threads, or e-sign official instructions before sending.
